We are looking for an Administrative & Leasing Assistant to work at our rental property, Hudson Walk One and Hudson Walk Two, located in Victoria, BC. Reporting directly to the General Manager, the position is responsible for providing clerical and administrative support for the general operation of the Hudson District. Working Schedule: Tuesdays – Saturdays

Key Responsibilities:

  • Providing administrative support in day-to-day operations of the rental office including but not limited to:
  • Photocopying, scanning, filing and sending documents to Head Office;
  • Mailing duties including sorting and distributing mail;
  • Providing reception duties including receiving and directing multiple incoming telephone calls;
  • Greeting and answering walk-in tenant enquiries;
  • Renewing of ads and providing feedback and suggestions for the rental advertising;
  • Maintaining the inventory of supplies to ensure office and kitchen supplies are well stocked and ordered when necessary with the manager’s approval;
  • Providing access to contractors;
  • Responding to residential rental enquiries and communicating with prospective tenants regarding rent and application procedures;
  • Showing suites and property to prospective tenants;
  • Conducting open house showings;
  • Monitoring the website and uploading floorplans for vacancies;
  • Preparing leasing documentation for review and approval;
  • Conducting move-in/move-out suite inspections as needed;
  • Assisting with suite and/or building access as needed;
  • Tracking and preparing the rental traffic documentation; and
  • Other duties as required by the needs of the operation.

 What You Bring:

  • Completion of high school diploma;
  • 2+ years providing superior quality service within an office environment or service industry;
  • Experience reading leases is an asset;
  • Intermediate knowledge using Microsoft Office, especially Word and Excel;
  • Demonstrating a polite, professional, and cooperative personality and willingness to assist others;
  • Proven ability to multi-task and prioritize demands;
  • Diligently dealing with methods of organization and detail in performing duties;
  • Working both independently and as a team player;
  • Adapting to changing needs and demands while remaining calm; and
  • Taking direction and following through on assigned work in a timely manner.
