We are looking for a proactive and service-oriented Office Administrator with a passion for organization and a knack for effortlessly managing multiple tasks and priorities. Reporting to the Office Manager, this position will provide quality administrative support to the office operations and manage reception in a friendly and professional manner

KEY RESPONSIBILITIES

Reception

  • Greeting and answering walk-in visitors and employee’s inquiries in friendly and professional manner;
  • Receiving and directing incoming calls on a multi-line phone system;
  • Ensuring visitors adhere to office safety policies, keeping the workspace clean, tidy, and safe;
  • Ensuring reception area and boardrooms are always clean, tidy, and professional in appearance
  • Maintaining and setting up boardrooms, arranging catering and additional supplies when necessary;
  • Distributing mail and arranging local and international courier services; and
  • Managing sign in for visitors and safely distributing building keys to service providers.

Office Administration

  • Performing clerical duties including photocopying, scanning, binding, drafting letters, stuffing envelopes, filing (paper and digital), and running postage;
  • Providing administrative support to various departments on an as needed basis;
  • Supporting the Office Manager with event planning for social events and team building activities;
  • Archiving files and preparing them for storage; scheduling pickup from external third party vendors;
  • Checking office and kitchen supplies, ordering additional supplies when required;
  • Conducting daily rounds throughout the office according to the administrative handbook; and
  • Performing other ad hoc duties as directed by the Office Manager.

What You Bring

  • Completion of high school diploma;
  • Intermediate proficiency in Microsoft Office.
  • Work Experience and Job Skills
  • Provide quality customer service with a proven ability to multi-task and prioritize demands;
  • Demonstrate a professional, and cooperative personality and willingness to help others;
  • Efficient and effective time management, demonstrating ability to meet deadlines while producing quality and accurate work;
  • Collaborative and able to work within a team and independently;
  • Ability to take direction and follow through on assigned work; and
  • Excellent verbal and written communication skills.

Salary Range: $50,000 to $58,000
